membership database we do understand that this pilot has been a bit of a struggle for some units/leaders. as an overall association, we are way behind the times with knowing who are members are/ how to communicate with them/what their needs are. this database is the beginning step to address these areas. here is some information that may make it easier to understand why pta has decided to invest in this resource: knowing our members —national pta’s long history of only receiving membership counts vs. members’ individual information from local ptas and states, does not allow for common relationship building exercises. the ability to send messaging that reinforces value and engagement directly affects membership retention. knowing our members allows us to serve them better in various ways such as publication preferences, preferred content delivery and choice on levels of engagement. successful associations “customize the experience” by listening to the member and recording preferences and that is what today’s member demands. generating renewals —without individuals’ contact information, simple emailed renewal reminders are not possible. one of the most common reasons for losing members according to a national benchmarking survey is simply “no one reminded me or asked.” automated renewals and the ability to join/renew online will allow national pta to assist all ptas with this vital functionality that all other associations have had in place for many years. assisting state ptas with membership operations —overall database capabilities can vary greatly across the many state ptas. the database pilot allows local units to upload their information directly to a centralized database that has infrastructure and security protections. state ptas benefit from centralized membership administration and information storing. the database pilot system will eventually be able to track rosters and offer state ptas reporting on common needs such as bylaws and local units in good standing. currently, the pilot can store unit officers and manage dues amounts. in the near future, individuals will be able to print member cards on line and access members only benefits relieving some current state responsibilities. data driven decision making —without member data, pta has a much more challenging task to align program and service offerings with our members’ desires, needs and issues. in addition, many other key aspects of operations are affected by lack of data including government relations, donor/sponsor interest and press and think tank influence opportunities. data is the most vital need of today’s association as well as the overall business community. lack of data makes strategic decisions much more challenging and gives the impression that ptas are “behind the times.” national has put up a webpage to help you. it is a great resource- it includes video tutorials and an undated manual. please click here to check it out!
